These Terms and Conditions ("Terms") govern your access to and use of ApplyPilot AI, a trading name of Digital Echoes Ltd ("we", "us", "our"), a company registered in England and Wales (Company No. 11774988), registered office 34 Marmion Way, Ashford, England, TN23 5HY.

By creating an account or using our services, you agree to be bound by these Terms. If you do not agree, do not use our services. These Terms should be read alongside our Privacy Policy and Cookie Policy.

ApplyPilot AI provides an AI-powered job search and application platform, including:

• Job search across multiple job boards (Reed, Adzuna, Jooble, Remotive, Arbeitnow)

• Automated CV tailoring and ATS scoring

• AI cover letter generation

• Job application tracking and management

• Recruiter email logging and AI-drafted reply suggestions

• Auto-Pilot and Semi-Auto application submission

• Interview scheduling and preparation tools

We reserve the right to modify, suspend, or discontinue any feature with reasonable notice. We will not be liable for any modification, suspension, or discontinuation of services.

To access most features, you must create an account. You agree to:

• Provide accurate, current, and complete information

• Maintain the security of your password

• Notify us immediately of any unauthorised access

• Accept responsibility for all activities under your account

You must be at least 18 years old to create an account. We reserve the right to terminate accounts that violate these Terms.

Plans: We offer monthly subscription plans (Starter £29/mo, Growth £59/mo, Premium £99/mo, Done-With-You £299/mo). Digital Echoes Ltd is not currently VAT-registered, so these prices do not include VAT.

Free Trial: New subscriptions include a 7-day free trial. A valid payment method is required to start a trial, but you will not be charged until the trial ends.

Billing: If you do not cancel before your trial ends, your card will be charged automatically and your subscription will continue to renew monthly on the same date, until you cancel.

Changing Plans: You may upgrade or downgrade your plan at any time from your account. If you're still in your trial, changing plans does not restart or extend the trial. If you're already an active paying subscriber, we bill or credit the prorated difference immediately when you change plans.

Cancellation: You may cancel at any time from your account's billing portal. Cancellation stops future renewals; you keep access until the end of the billing period you've already paid for.

Failed Payments: If a renewal payment fails, we will notify you by email and mark your account as past due. Continued failure to pay may result in your plan being downgraded.

The 7-day free trial is your opportunity to evaluate the service before being charged — you can cancel at any time during the trial at no cost.

Once a paid billing period has started, charges for that period are generally non-refundable, except where required by UK consumer law or at our discretion in exceptional circumstances.

Consumer Rights: Nothing in these Terms affects your statutory rights under UK consumer law, including the Consumer Contracts Regulations 2013. To request a refund or discuss your circumstances, email **privacy@applypilotsai.com**.

You agree not to use our services to:

• Submit false, misleading, or fraudulent job applications

• Generate CVs or cover letters for someone other than yourself without their explicit consent

• Scrape, harvest, or systematically extract data from our platform

• Reverse engineer, decompile, or attempt to access our source code

• Use our platform in connection with any illegal activity

• Circumvent any usage limits or security measures

• Resell or sublicense access to our platform

• Use automated tools to access our services beyond our own Auto-Pilot features

Violations may result in immediate account termination without refund.

Our IP: All platform software, AI integrations, brand assets, and original content remain our property or that of our licensors. Nothing in these Terms transfers ownership of our IP to you.

Your Content: You retain ownership of CVs, cover letters, and other content you create using our tools. By using our services, you grant us a limited licence to process your content to deliver our services.

AI-Generated Content: Content generated by our AI tools (tailored CVs, cover letters, email replies) belongs to you once created. You are responsible for reviewing and ensuring the accuracy of AI-generated content before submitting it to employers.

No Employment Guarantee: We do not guarantee that use of our platform will result in job interviews, offers, or employment. Results depend on many factors outside our control.

Service Availability: We aim to keep the service running reliably but cannot guarantee uninterrupted availability. We are not liable for losses arising from downtime.

Liability Cap: To the maximum extent permitted by UK law, our total liability to you for any claims arising from use of our services is limited to the total amount you paid us in the 12 months preceding the claim.

Excluded Losses: We are not liable for indirect or consequential loss, loss of profit, loss of data, or reputational harm.

**Nothing in these Terms excludes liability for death or personal injury caused by our negligence, fraud, or any matter that cannot be excluded by law.**

We process your personal data in accordance with UK GDPR. Your rights include:

• Right of access (Subject Access Request)

• Right to rectification

• Right to erasure ("right to be forgotten")

• Right to data portability

• Right to object to processing

By You: You may close your account at any time in account settings. We will delete your data within 30 days, except where retention is required by law.

By Us: We may suspend or terminate your account if you breach these Terms, without prejudice to any legal remedies. We will give reasonable notice except where immediate termination is necessary to protect other users or our platform.

Effect of Termination: Upon termination, your right to use our services ends immediately. Provisions that by their nature should survive termination (including IP, liability, and disputes) will remain in effect.

These Terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.

We are committed to making ApplyPilot AI accessible to all users, and aim to conform to the Web Content Accessibility Guidelines (WCAG) 2.1 Level AA. If you encounter accessibility barriers, please contact us and we will work to resolve them.

We may update these Terms from time to time. We will give you reasonable notice of material changes via email. Continued use of our services after changes take effect constitutes your acceptance of the new Terms.
